Introducing Microsoft® Response Point, innovative phone system software designed to meet the needs of small businesses. Response Point can save you time and money with a breakthrough voice-activated user interface, simplified setup and user management, and effortless mobility.
Microsoft Response Point is complete phone system software designed specifically for small businesses with 1-50 employees. In the past, deploying an advanced phone system to a small business was considered impractical. Intended for large businesses, most phone systems in today’s market are expensive, arcane, and require a dedicated IT staff. Response Point provides a welcome alternative: advanced phone system software that is easy to deploy, use, and manage.
Respond quickly to customer needs.
Automatically route calls to the right person, whether they’re in the office or on the road. Employees don’t have to wait by the phone, and all callers and customers receive the same VIP treatment, every time. • See caller details with screen pop-ups. • Specify callers who can ring you directly, bypassing the receptionist. • Integrates easily with Microsoft Office Outlook® contacts. • The voice-enabled Automated Receptionist manages common requests and increased call volume smoothly and professionally.
Reach customers and colleagues easily—from almost anywhere.
Take and make customer calls away from the office. Calls can be automatically routed on a Voice-over Internet Protocol (VoIP) line, helping you avoid exorbitant long-distance rates. • Route calls to the right employees whether they’re in the office or on the road. • Send voicemail to e-mail for easy access. • Ring all the phones in a particular department for quick access.
Add new phones and users quickly.
An average PC user can add and manage up to 50 users—with no special phone training or additional license fees. • Add and change users with a few mouse clicks. • Adjust staffing peaks and valleys flexibly. • Move office locations with minimal interruption in customer service.
Response Point's comprehensive solution offers a variety of features:
Standard phone-system features. These include hold, park and retrieve, transfer, three-way conference calling, and call forwarding.
Voice dialing. Each Response Point phone has a special button with the RP logo on it. When you press the Response Point button and say the name of a contact, Response Point will automatically dial the number for you—no more numbers to remember or contacts to search for. Response Point users with numerous contacts can manually add or import them from Microsoft Office Outlook® Business Contact Manager or Windows-Address Book.
Voice-activated commands. The Response Point button can issue a variety of voiceactivated commands, enhancing the system’s ease of use. For example, if you are on a call and want to transfer it to Fred, simply press the RP button and say, “Transfer my call to Fred.” There are no complicated keystrokes to learn.
Easy deployment. Response Point phone system software uses a small business’s existing Ethernet local area network (LAN). With the provided Ethernet cables and power cord, plug the hardware—the base unit, phones, and phone line adapter—into the LAN, and configure the hardware from your PC using the step-by-step wizards—the Response Point phone system software automatically discovers the hardware.
Automated Receptionist. Because many small businesses do not have a dedicated receptionist to answer incoming calls, Response Point phone system software provides a voice-enabled Automated Receptionist, which prompts callers to provide information and routes calls accordingly. For a business that uses a live receptionist, the Automated Receptionist feature can be used as a back up, when the receptionist is on another line or away from the desk, or when the office is closed.
Voicemail. With Response Point phone system software, users can either access their voicemail by phone or retrieve them as e-mail attachments in their inboxes. The latter is particularly useful for users who are out of the office but connected to a mobile device.
Incoming call alerts. Users who install the Response Point Assistant on their PCs can enable caller alerts. When a call comes in, a notification window appears on a user’s computer screen, containing caller ID. If the caller is an imported contact, additional details will be displayed as well. The user can then click the caller alert and open the contact card in Office Outlook.
